PTS is certified to ISO/IEC 27001 and ISO/IEC 20000 and has worked in Hong Kong since 2001.

Microsoft 365 business plans in Hong Kong

Microsoft 365 is licensed per user, and mixing plans in one tenant is normal. For most Hong Kong businesses the choice comes down to four plans:

  • Business Basic. Email, Teams and OneDrive with the web and mobile versions of Word, Excel and Outlook. Right for frontline and light users who never need the desktop apps.
  • Business Standard. Everything in Basic plus the desktop Office apps. The bare productivity suite, with no device management or advanced security.
  • Business Premium. Everything in Standard plus Intune device management, Defender for Business (endpoint detection and response), Entra ID P1 conditional access and Defender for Office 365. The sensible default for most firms under 300 staff, because it bundles the security controls insurers and clients now ask about.
  • Microsoft 365 E3 and E5. The enterprise plans, with no seat cap and deeper compliance tooling. E3 is the usual base beyond 300 users; E5 adds advanced security, eDiscovery Premium and Teams Phone, and is usually worth it for a few exposed roles rather than everyone.

Each Business plan is capped at 300 users. Past that, additional users move to E3, E5 or the frontline plans without a migration. Microsoft 365 Copilot can be added on top; since July 2026 the cheapest route for up to 300 seats is often the Business Standard or Business Premium bundle that includes Copilot, rather than a separate add-on.

How much does Microsoft 365 cost in Hong Kong?

Microsoft sets the list price per user per month for each plan, and the total depends on your plan mix, the number of users and whether you commit monthly or annually (annual terms cost less per month but seats cannot be reduced mid-term). The plan picker shows current list prices and builds a right-sized mix for your team.

When you buy through PTS, the licences come with the setup, the security baseline and support in one costed proposal, invoiced in Hong Kong dollars with one point of contact. We right-size first, because the most common waste we find is paying for Premium or E3 on accounts that do not need it, and licensed shared mailboxes that should be free.

Business email for Hong Kong companies

A business email address on your own domain ([email protected] rather than a Gmail or Yahoo address) is the first thing most new companies need, and Microsoft 365 is the most common way to run it in Hong Kong. Exchange Online gives every user a full mailbox with calendar and contacts, and shared mailboxes for addresses such as info@ or accounts@ need no paid licence of their own.

We set up the domain, users and shared mailboxes, configure the MX, SPF, DKIM and DMARC records so your mail is delivered and cannot easily be spoofed, and turn on anti-phishing protection. Traditional and Simplified Chinese work throughout Outlook and Teams. The free Email Security Checker shows how your current domain scores on SPF, DKIM and DMARC.

Moving from Google Workspace or another email host

Most of our migrations are businesses moving from Google Workspace, consumer Gmail, a local web-hosting email package or another Microsoft 365 tenant after a merger, carve-out or change of provider. The approach is the same each time:

  • Plan the cutover. We agree a date and time, usually outside office hours, and a rollback plan.
  • Move the data. Mail, calendars and contacts move into Exchange Online, and Google Drive or old file shares move into OneDrive, SharePoint and Teams.
  • Switch the domain. We change the MX and related records at the cutover so new mail arrives in Microsoft 365, and sync any messages that arrived during the move.
  • Support the first week. Users get short, practical guidance, and our helpdesk handles the questions that always follow.

Your email address stays the same, and no mail is lost.

Who it’s for

  • Startups and new companies that want business email, Teams and file storage set up correctly from the first day.
  • Newly incorporated Hong Kong, Singapore or China entities of an existing group that need their own tenant.
  • Carve-outs and spin-offs separating from a parent company’s Microsoft 365.
  • Businesses on Gmail, Google Workspace or a hosting company’s email ready to move to a professional, secure platform.
  • Established Microsoft 365 customers who want the licences right-sized and the security they already pay for switched on.

The PTS Microsoft 365 Foundation Build

Our Foundation Build is a structured way to stand up Microsoft 365 so nothing important is skipped. Every step is documented and handed over, so you own a clean environment rather than a black box. It is the same delivery discipline behind our IT modernisation for a US corporation, which moved a multinational’s Hong Kong and China operations to the cloud without disruption.

1. Discovery & licensing

We map your team, devices, domains and how you actually work, then right-size the Microsoft 365 licence mix so you pay only for what you need, with room to grow.

2. Tenant & identity

We create and configure your tenant, set up users and groups in Entra ID, and enforce multi-factor authentication and conditional access from the start, not as an afterthought.

3. Email & domain migration

We verify your domain, configure MX, SPF, DKIM and DMARC correctly, and migrate existing mail, contacts and calendars from Gmail, Google Workspace or your old provider with no lost messages.

4. Teams, SharePoint & OneDrive

We design a sensible file and collaboration structure across Teams, SharePoint and OneDrive, so documents have a logical home and sharing is controlled rather than chaotic.

5. Security baseline

Every build ships with a security baseline: MFA, least-privilege admin roles, anti-phishing, a healthy Secure Score and independent backup, so you start secure, not exposed.

6. Onboarding & handover

We onboard your users, give short practical guidance, and hand over clear documentation of the environment so your team, or ours, can run it with confidence.

Security from day one

A new tenant is at its most vulnerable before anyone has hardened it. Default Microsoft 365 settings leave gaps: weak admin protection, legacy authentication and oversharing. Our Foundation Build closes those from the outset, and for environments that are already live we offer a full Microsoft 365 security review and broader managed security services.

Microsoft 365 FAQs

Can we buy Microsoft 365 licences through PTS?

Yes. PTS supplies Microsoft 365 licences, sets them up and supports them, invoiced in Hong Kong dollars. We right-size the plan mix first, so you are not paying for licences your users do not need.

How much does Microsoft 365 cost in Hong Kong?

Microsoft sets a list price per user per month for each plan; the total depends on your plan mix, user numbers and whether you commit monthly or annually. Our free plan picker shows current list prices. Setup, migration and support are quoted together in a costed proposal.

Which Microsoft 365 plan do most Hong Kong businesses need?

Under 300 staff, usually Business Premium for most users, because it adds device management, endpoint protection and conditional access to the Office apps. Business Basic suits frontline and light users, and E3 or E5 make sense beyond 300 users or for specific roles.

How long does it take to set up Microsoft 365?

A straightforward new environment is typically ready within a few days; migrations with existing email and files take longer depending on volume. We agree a clear timeline at discovery and keep users productive throughout.

Can you migrate our email and files from Gmail or another provider?

Yes. We migrate mail, contacts, calendars and files from Google Workspace, consumer Gmail, other Microsoft 365 tenants or legacy systems, preserving data and minimising downtime with a planned cutover.

Can we keep our email address when we move?

Yes. Your domain moves with you, so addresses stay the same. We switch the mail records at the cutover and sync anything that arrives during the move, so no mail is lost.

Will our staff lose access during the move?

No. We plan migrations around your working hours with a defined cutover and rollback plan, so people keep working while data moves in the background.

Do you set up security as part of the build?

Yes. Every Foundation Build includes a security baseline: MFA, conditional access, anti-phishing, admin hardening and independent backup. Existing tenants can have a dedicated Microsoft 365 security review.

Do you support new companies in China and Singapore too?

Yes. We set up and support Microsoft 365 for entities in Hong Kong, Singapore and Mainland China, including cross-border considerations and the 21Vianet versus global tenant decision for China.

What do we get at handover?

A working, secure environment plus clear documentation of your tenant, users, licences and configuration, and the option of ongoing IT support so you are never left to run it alone.
