IT support for law firms in Hong Kong — built around confidentiality, reliability and your clients’ expectations

A law firm’s IT carries a duty most businesses’ IT doesn’t: everything it touches is privileged, confidential or both. Clients expect their matters to be handled on systems that are secure and discreet; the firm expects its document management, email and billing platforms to simply work, because fee-earners bill in six-minute units and downtime is unrecoverable. PTS builds and runs IT for law firms on exactly those terms — British-owned, on the ground in Hong Kong since 2001, and independently certified to ISO/IEC 27001 (information security) and ISO/IEC 20000 (IT service management).

We know the legal sector first-hand: PTS delivered the structured cabling, AV, IT and security infrastructure for a global law firm’s office relocations in both Hong Kong and Singapore, designed to the firm’s global technology standards. From full managed IT services for a local practice to working alongside the global IT team of an international firm’s Hong Kong office, the disciplines below are the same.

What law firms need from IT

The legal sector’s requirements are specific enough that a generalist provider tends to miss them. Six matter most.

Matter confidentiality & access control

Privileged material demands need-to-know access, not office-wide file shares. We implement identity, multi-factor authentication, encryption and matter-level access controls — including the ethical-wall arrangements conflicts can require — backed by our ISO 27001 certification. See cybersecurity.

Document management reliability

The DMS is a law firm’s production line; when it’s slow or down, the firm stops. We support and maintain document management platforms and the infrastructure beneath them — storage, network, identity — with proactive monitoring so degradation is caught before fee-earners feel it.

Email security & client communications

Email is both a law firm’s main artery and its biggest attack surface — and law firms are attractive targets precisely because of what their inboxes contain. We harden Microsoft 365 with anti-phishing controls, encryption and data-loss prevention, and train staff against the attacks that target professional firms.

E-discovery & litigation readiness

When a matter requires documents and communications to be preserved, searched and produced, the infrastructure has to make that possible rather than painful. We configure retention, archiving and legal-hold capabilities in Microsoft 365 so material can be preserved defensibly and retrieved quickly.

Secure remote & multi-office access

Partners work from hearings, clients’ offices and home; the systems have to follow them securely. Conditional access, managed devices and zero-trust remote access keep matter material protected wherever it’s opened.

Client-audit & insurer readiness

Institutional clients increasingly audit their law firms’ information security, and insurers ask the same questions at renewal. Documented controls, policies and an ISO 27001-certified support partner let you answer security questionnaires with evidence rather than assurances.

Client confidentiality is now a selling point, not a back-office issue

The pressure on law-firm IT no longer comes only from within the firm. Corporate clients — especially banks, funds and multinationals — send security questionnaires before instructing counsel, and a weak answer costs work. The same scrutiny we help financial services firms withstand from their regulators and investors, we help law firms withstand from their clients: documented security controls, tested backup and recovery, and infrastructure run to externally audited standards. Discretion is the default in how we work — we don’t publish client names, and our engineers are used to environments where what’s on the screen is nobody else’s business.

Multi-office and China connectivity for regional firms

Hong Kong law firms increasingly practise across borders — a Singapore office, a Mainland China presence, or membership of an international network with global technology standards. That brings the cross-border problems most local IT providers can’t touch: connectivity into the Mainland behind the Great Firewall, the global-versus-21Vianet Microsoft 365 tenant question, and data-transfer rules under PIPL and the PDPO that matter acutely when the data is privileged. PTS runs IT across Hong Kong, Singapore and Mainland China from our own offices in each — including a locally registered Shanghai entity — so a regional firm gets one accountable partner across all three markets. See China IT services for the Mainland detail.

Why PTS for law firms

Law firms choose PTS for the combination that’s hard to find in one provider: independently certified security (ISO/IEC 27001 and 20000, externally audited — not vendor badges), genuine legal-sector delivery experience including infrastructure for a global law firm across Hong Kong and Singapore, a multilingual helpdesk in English, Cantonese and Mandarin, and vendor-neutral advice — we’re paid by you, not by the products we recommend. Day to day, that translates into responsive IT support with engineers dispatched from our Wan Chai office, and P1 incidents acknowledged within 30 minutes during business hours.

Our pricing approach

We scope each engagement to the firm — headcount, offices, practice systems and the standards your clients hold you to — then provide a clear, costed monthly proposal. No fixed packages, no long lock-in: a standard agreement is annual with a three-month termination notice. A four-partner boutique and the Hong Kong office of a global firm need very different things, and we price accordingly.

Law firm IT FAQs

Do you understand the confidentiality obligations law firms work under?

Yes — it shapes how we design and how we behave. Matter material is handled on a need-to-know basis, access controls and encryption are built in rather than bolted on, and our own operation is independently certified to ISO/IEC 27001, so the firm’s confidentiality duty is backed by externally audited controls on our side too.

Can you support our document management system?

Yes. We support document management platforms and, critically, the infrastructure they depend on — storage, network, identity and Microsoft 365 integration — with proactive monitoring to catch degradation before it costs fee-earner time. If you’re selecting or migrating a DMS, we advise vendor-neutrally.

Can you help us prepare for e-discovery?

Yes, at the infrastructure level. We configure retention policies, archiving and legal-hold capabilities in Microsoft 365 so documents and communications can be preserved defensibly and retrieved quickly when a matter demands it. We’re not litigation-support consultants — but we make sure the systems can do what your litigators need.

Our clients send us security questionnaires. Can you help us answer them?

Yes — this is increasingly the trigger for law firms contacting us. We put the controls in place, document them, and help you answer client and insurer questionnaires with evidence. An ISO 27001-certified IT partner is itself an answer many questionnaires look for.

We have offices in Singapore and Shanghai. Can you cover all three?

Yes. PTS operates from its own offices in Hong Kong (since 2001), Singapore (since 2009) and Shanghai, through a locally registered Mainland entity — one accountable partner, multilingual support and on-the-ground engineers in each market. See China IT services for how the Mainland side works.

Will you work with our firm’s global IT team?

Yes — common for international firms’ Hong Kong offices. The global team keeps strategy and standards; we provide local helpdesk, on-site engineering, infrastructure delivery and out-of-hours hands. That’s exactly how we delivered the global law firm relocation projects — local execution to global standards.
