IT procurement FAQs
How does PTS make money on procurement, and how do we know the price is fair?
Being vendor-neutral is the point: we are not tied to a single OEM, so there is no incentive to steer you toward one brand’s kit over another. In practice that means benchmarking multiple quotes, procuring to your standards rather than our preferences, and right-sizing so you are not paying for specification you will never use. If you want the commercial basis of a particular piece of work set out explicitly before you commit, ask and we will put it in writing. Buyers should ask any procurement partner this question, and a straight answer is a reasonable thing to expect.
Are you tied to particular vendors or distributors?
No. We hold relationships across the major OEMs and distributors and act as one accountable channel across them, which is what lets us benchmark rather than default. Where you already have an approved device list or a standard build, we procure to it. Where you do not, we will help you set one — standardising devices is one of the cheapest ways to reduce support tickets and make refresh planning predictable.
Can you match the price I found online?
Sometimes, and sometimes the cheaper price is not the same product. Business-grade SKUs differ from consumer equivalents in warranty term, support entitlement and lifecycle, and regional or grey-market stock can arrive with a warranty that is not valid in Hong Kong or that has to be claimed in another country. We will tell you when a cheaper option is genuinely equivalent and when the saving disappears the first time you need a replacement under warranty.
What lead times should we expect?
It depends heavily on the product and the moment — some categories move in days, others run to weeks when a line is constrained. What we commit to is a realistic ETA rather than an optimistic one, proactive updates when a date moves, and alternative options put in front of you early when stock is tight. For a rollout tied to a fixed date, such as an office move, tell us the deadline first so we can work back from it.
Can you deliver to our offices in Mainland China and elsewhere in APAC?
Yes. We handle regional sourcing when Hong Kong supply is tight, and coordinate import, tax and delivery considerations for Mainland China and the wider region. Cross-border hardware is where procurement most often goes wrong — the kit is bought correctly and then stalls at a border or arrives without valid local warranty — so we plan the fulfilment route as part of the order rather than after it.
What happens if equipment arrives faulty?
We manage it rather than handing you a vendor phone number. That covers dead-on-arrival replacements, raising and escalating RMAs with the vendor, tracking them so nothing disappears, and coordinating advance replacement where the vendor offers it. The practical benefit is that chasing a warranty claim stops being your team’s problem.
Do you handle warranties and renewals?
Yes — warranty registration at the point of purchase, visibility of expiry dates, and renewal prompts before cover lapses rather than after. The same applies to software licences and subscriptions. Unmanaged renewal dates are a common source of both unplanned spend and unplanned exposure, so this is deliberately part of the service rather than an add-on.
Can you deploy and configure the devices, not just supply them?
Yes, where you want it. Deployment-ready handover means devices arrive built to your standard rather than as boxes for someone else to image. That combines naturally with IT support for day-two ownership, and with office relocations when hardware is being refreshed as part of a move.
Do we have to buy IT support from PTS to use procurement?
No. Procurement works as a standalone service, and plenty of clients use it that way. It does tend to work better alongside support, simply because device standards, warranty status and refresh planning are the same information the helpdesk needs — but it is not a condition.
Can you help us standardise devices across multiple offices?
Yes, and it is usually where the largest saving sits. Approved device lists and standard builds reduce the variety your support team has to know, make spares strategy possible, and let refresh be planned rather than reactive. For organisations with offices across Hong Kong, Mainland China and the region, consistency also removes the situation where each office has quietly bought a different laptop and a different dock.
