290+ Microsoft Teams Rooms Across Nine Cities in Ten Months

The Challenge
A global professional networking platform wanted every meeting room in its APAC portfolio to deliver the same experience: walk in, one touch, you are in the meeting. The reality across more than ten sites was a mixed estate of legacy video conferencing, varied control interfaces and inconsistent room behaviour, multiplied across eleven cities and several time zones.
The company set an ambitious target: audit, redesign and migrate its regional meeting room estate to Microsoft Teams Rooms, without disrupting offices that needed to keep working throughout.
Our Approach
PTS has been AV and IT design consultant on the portfolio since 2020, so the MTR programme started from deep familiarity with the estate. The initial audit was delivered within two weeks of kick-off: stakeholder requirements, on-site surveys, and an equipment reuse assessment covering displays, video conferencing, signage, background music, control panels and room scheduling, identifying exactly what could carry forward into the new standard and what could not.
We then designed eleven room typologies, six standard and five specialty, aligned with the client’s global standards and industry best practice. The typologies did the heavy lifting: every room in every city maps to a known design, a known bill of materials and a known user experience.
Delivery ran as a centrally governed programme with parallel workstreams across the region. PTS developed the tender documents, evaluated and onboarded integrators, reviewed submittals, coordinated the technology migration and inspected sites through to sign-off. Every completed site was captured as a Matterport digital twin, giving the client an accurate, interactive record of each space for remote reviews, asset tracking and lifecycle planning.
The Outcome
More than 290 Teams Rooms audited, redesigned and deployed across nine APAC cities in ten months. The estate now offers one-touch join and a standardised interface in every room, on-site support demand has fallen, and the centrally managed platform scales as the portfolio grows.
The rollout won the Connected Meeting Spaces category at the Inavate APAC Awards 2025, recognition of a complex, cross-border programme delivered with precision and pace.
